Important Information:

  • Balloons, Straws, Glass and Piñatas are NOT allowed on Zoo property
  • The Adventure Guide will lead your party in the Zoo for a 20 minute safari experience during the duration of your party. During inclement weather, an alternate indoor safari will take palce.
  • Each child and adult over the amount allotted will be billed at the given rate. (Credit Card Number is required to reserve a room. Overages will be charged to this card.) The host/hostess will perform a headcount that you will sign and acknowledge.
  • Your signature verifies total and authorizes your credit card be charged for the overage amount. There is a 20 child maximum.
  • A $75 Cancellation Fee will be retained for all parties cancelled after initial booking and payment.
  • A $100 Cancellation Fee will be retained for all parties cancelled within 7 days of scheduled party date. Additional $20 cake fee if cancelled within 4 days of party.
  • Parents are responsible for overseeing both the party and outdoor activities.
  • If the Zoo is closed (weather or animal emergency), the party will be refunded or an attempt to re-schedule will be made.
  • Parties are subject to cancellation without notice.

Confirmation

Once we receive your party agreement and payment you will receive a confirmation letter. Your package includes all benefits listed on the Party Agreement, including admission and parking for all guests. Your guests will be required to present their invitation, provided by you, to the receptionist at the Croft Center front desk for admission. Packages include 10 invitations. Any additional requested invitations over the number of children that actually attend the party will be charged $1/invitation.

Payment/Cancellation/Refund Policy

A $75 cancellation fee will be retained for all parties cancelled after payment and confirmation. For all parties cancelled within 7 days of the party date, $100 of payment will be forfeited.

Who is counted as a Guest?

A guest is anyone who is attending your party. Children and adults alike. The base rate for the party includes 10 children and 11 adults. If your guests exceed this number then you will be billed the per person rate for additional guests. Please remember to include the birthday party child, siblings, parents and friends in your headcount. If a child is bottle fed and not participating in the party we will not include that child in the count. The exception to this rule is a party for a 1 or 2 year old being attended by children of the same age.

What if Unexpected Extra Guests arrive?

This will be left to your discretion. We advise if you are trying to limit the number of people in attendance, then you should word your invitations in a manner that will reflect your outcome. All attendees will be counted as guests of the party. If you ask them to leave and they would still like to visit the Zoo, then they will have to go to the front gate to purchase a ticket. Only your party guests are permitted to enter the Zoo through the Croft Center.

What about adults?

Each party is built to include one adult per child plus the second parent of the birthday child or in other words the birthday party child, his parents, nine friends with one adult each. These adults may be any combination of guest parents, older siblings, chaperones or grandparents that you choose. Additional adults over the allotment will be billed to you at a rate of $12 per person. This fee covers a reduced admission and plain tableware for the adults.

What if some of my guests are members? Do we have to pay for them?

Yes, guests who are current members will be counted in your total headcount. We are pleased to know that members are having the added fun of joining your party! Please understand that though their membership provides admission through the gate it does not include the added experience of the birthday party and for this reason if members are additional guests they will be billed for accordingly.

Set Up / Clean Up

The Party Room, located in the Croft Center, will be set up approximately 1/2 hour before the party time. You may arrive a half hour prior to your party to deliver additional foods or do any additional decorating. You may hang signs with tape on the windows or tables only and must remove everything before the party ends. You may not tape or pin anything to the mural walls. We ask that you begin to wrap things up approximately 15 minutes before the party ends so that you will be leaving on time. Your host will have another party to set up for and will need to clean up after yours has ended. Please be prepared to carry out everything you are taking with you promptly at your party end time. Thank you for respecting your host's needs and the next party coming in.

Do I need to bring anything to the party?

Feel free to bring games or additional favors (hats, blowers) that you wish to supplement the party. We do not allow balloons, piñtas, or staws which are potentially fatal to our animals if ingested. You may also bring table clothes and additional decorations (please see set up for further information). We have a refrigerator/freezer if you'd like to store ice cream or food 1/2 hour prior to your party. Any left over food may not be stored in our refrigerators due to the needs of the next party. The Party Host must have the room cleared at the end of the two-hour party time to set up for the next party. All clean-up will be handled by the Party Host. We suggest that you bring a box to use for carrying gifts out. Please be sure to take everything with you.

Animal Presentation

This is an add-on option for your party. Private animal presentations are done at specific times depending on the time slot you schedule your party. When you book your party with an animal presentation you will be given the time that the animals will arrive. These times may not be changed due to the possibilities of other parties. If for some reason you are unable to be in the room at this time, you may forfeit the animal presentation. Generally, two animals from the Education Animal collection are brought in for a 20 minute program. Both the animals and the presentation style are geared to the age of the birthday child and the mission of understanding the complexities of the animal kingdom. A typical presentation will include a variety of species. Unfortunately, the only animal requests that we can accept are for a complete "Creepy Crawly" program or for NO REPTILES at all. The Nashville Zoo respects both the safety of the party guests and the animals when choosing presentation creatures.

Typical Zooper Party Timeline for visiting animal exhibits and the Jungle Gym:

If your party falls into the 4:00 - 6:00 p.m. time slot, guests should plan to visit the animal exhibits and Jungle Gym before the official party time begins. Your guests may enter the Zoo through the Croft Center by showing their invitation to the receptionist. If your guest does not have an invitation then we will not be able to permit them to enter the Zoo.

If your party falls during 10:00 am - 12:00 noon the guests should wait until after the party is over before visiting the animal exhibits & Jungle Gym.
